Release Notes 3.98
These updates announce new features, enhancements, and some bug fixes that have been completed with recent releases of the Club Prophet software. The updates in the release notes are organized by product. Some products will not appear in the list because they did not receive a notable update. Club Prophet continually improves upon the products, but only significant updates are described in release notes.

Club Prophet Version 3 POS Express v3.98
POS Express v3

In 3.98, you will find a new Post Date option in the Recurring Charge screen which enables you to run your billing on the 10th, so that it shows on the 10th.

Prior to the 3.98 release, there was no way to tie a deposit to a tee time making it hard for accountants and pro shop managers to reconcile. This update includes a new filter and two new columns to the Tee Sheet Revenue report in the Starter Hut reports section.

In release 3.98, a Rain Check button was added to rain checks in the Inventory module in order to make it easier to find out which sale the rain check was actually redeemed.

To prevent selecting all terminals in both F&B Quick Sale buttons and the Sales Quick Sale buttons, the option to select all terminals has been removed in the 3.98 release. This removal prevents an employee from copying zero buttons to every terminal, completely deleting all buttons at once.

In the 3.98 release, a QR code now generates along with the PIN code in the ball dispensing, 3rd party integration, Range Servant Select PI. The QR code prints out with the PIN below it. The new feature also sends the QR code via email receipt for CPS Air and POS Express.

In the 3.98 release, an option was added to maintain or copy an address from the main account when assigning or creating a sub-account.

In the 3.98 update, new Org Codes were added for payments for the Munis export.

CPS exports a text file that you pull into your accounting software.

GL codes are pulled from the usual location, which is assigned to the sales categories.

Store-specific digits are added which is our new feature, to keep the sales and corresponding payments separated by location.

A Physical Location text field was added to the Store tab in Inventory in the 3.98 update. Now, to know the location of an item in your store, you can enter precisely where it is in the store. For example, enter “aisle 6 on shelf 4” so you can quickly find that product after looking it up in the Inventory module.

If set up in the Moneris Cloud Solution, now in version 3.98 when you click the Use Card on File button after the payment method screen, the POS will no longer wait to confirm the transaction is canceled before charging the card on file since the credit card-on-file transactions no longer go through the device.

In version 3.98, when a Moneris Vault credit card is flagged as expired either during processing or if an option prevents the customer from being booked for a tee time in Starter Hut, you have the ability to verify the expiration date recorded for the card on file.

You can now print a duplicate receipt for the Shift4 credit card transaction when you charge tips, and you adjust the tip to 0.00 if the Duplicate receipt option is checked in 3.98.

In the 3.98 update, you can use an option to force a password if tier pricing goes below catalog cost.

In version 3.98, Club Prophet introduces a brand new credit card processing component - RewardPay which is a different way to process credit cards in addition to the current CCM. It involves the following components:

eConduit is a semi-integrated credit card processing solution similar to PAX or Moneris Cloud; it is the API call to the physical device, primarily the Dejavoo z11.

IBX is a Payroc-branded payment processing gateway that is a clone of the Phoenix Gateway. They have provided a new RESTful API that we will use for our card-not-present integration.

RewardPay is a credit card surcharging feature that allows you to surcharge your customers for credit card fees instead of taking on the fees themselves.

In the 3.98 release, all customers who have active recurring charges displays in the ACH Bank Draft Detail report when you select Export to File.

Starter Hut v3

In version 3.98, the Set Class button in Starter Hut allows you to change the class of the golfer for a booking. When dynamic pricing is enabled, and you set the golfer’s class, you can select the current price dynamic price or the price at the time of booking.

This new enhancement in the 3.98 release will allow you to make the selected tee times unavailable for booking online quickly. Any existing blocks can remain on the tee sheet. If you need to open those tee times back up, for example, if the weather clears up, selecting the times you want to open up and removing the rain-out status is all that needs to be done. Any blocks that might have been set up before, such as for a league, will still be in place.

With the release of 3.98, the use of Set 9/18 Hole Only function appears in the cell history to assist you in troubleshooting a variety of issues because you are able to see which cells had Set 9/18 Hole Only applied and removed now.

In the 3.98 release, a password was added to the "No Show" options which prevents your customers from being booked locally if they have too many No Shows.
This feature is helpful if you do not want your employees to book customers if that customer has too many No Shows flags without your permission. This way you can determine case-by-case if this golfer should be booked or not. In addition to that feature, you can clear their No Show flags.

In the 3.98 update, the software will not prompt the single golfer if they would like the entire deposit applied to their check-in but instead apply the entire deposit automatically.

Members can book online for sister clubs with less restrictive set limits as to how often per club in version 3.98.

With the 3.98 update, when selecting all the tee times for a league and using the Change Player button, all of the league members now appear in the last 10-players and the next 10-players list which can help you when using the Customer search to find the rest of the league members after the first 20.

A new option was added in the 3.98 release to remove the Dynamic Price tab on the tee sheet and have the option to change the color. This option makes the tee sheet easier to look at.

In version 3.98, if you are using Dynamic pricing and a customer books online then changes the player, you will get the correct price with the dynamic price staying the same. This is changed via Change Player feature in Starter Hut.

In the 3.98 release, there is a new interface for Caddie Now that includes the options Full Cart and Half Cart and Caddie for each player; this is created by an API key for Caddie Now.

When the Event Check In option is used, there is now a record of the check-in in the cell history. In the 3.98 release, you will find a new line added into the cell history with the sale.

In release 3.98, the Set Class button in Starter Hut changes the class of the customer account.

When there is a booking on a dynamic price time that is being moved to a non-dynamic time, you will now be prompted in keeping the dynamic price or updating to the non-dynamic price in the release of 3.98.

In the 3.98 release, the deposit returns now show in the cell history.

In the 3.98 release, the Starter Hut Customer Lookup and Edit Reservation Customer Lookup screens handle card swiping as does the Customer Acct Number edit and Sales Customer Lookup screen which truncate any extra characters.

Added the ability to set unlock reservation time [UnlockReservationTime] to 20 minutes in the Starter Hut v3 module in release 3.98.

In the 3.98 release, your database will no longer grow large in size due to your dynamic pricing cell’s history table because the indexes are fixed. All the latest histories of that cell are deleted and the edited dynamic price records are optimized so that only available tee times are price-adjusted.

If the deposit feature is used, the Starter Hut setting regarding the default to deposit is set to Pay Now in the 3.98 update. If this feature is turned on, more than likely you want to use it, so it should be set to pay "now" and not "later" and so the shop attendant has need not remember to click Pay Now after this update.

If you use the reservation wizard on a tee time that is either a block or daily deal it will NOT reserve over those tee times until you answer a confirmation prompt. You will now receive the same message at the end of the wizard for blocks and daily deals as you do with a booked member in 3.98.
In this way, you will not be able to overwrite blocks and daily deals that you have set up for the week/month/year.

In the 3.98 update, an option was added to allow Manual Priced items to prompt for price when using Setting Rate in Starter Hut. This allows you to enable this functionality if you have a manually priced GF or a cart item so that it prompts for the price instead of defaulting to the retail.

Before the reservation is checked in, and then when moving an online booking with a deposit in Starter Hut v3, the sale follows in the cell history. In the 3.98 release, we updated the View Sale button in the cell history to display if and when the online reservation has been moved; this should speed up your workflow to NOT have to go through and check multiple cell histories to get the full picture of a reservation.

The Rain Check sale shows in the cell history in the 3.98 release in Starter Hut after they are issued.

If you would like a way to have the booking screen ONLY show the customers that are part of the group if a booking is being made on a cell that is blocked for a particular member group, you can now in 3.98.

In the 3.98 release, the way you return a sale in Starter Hut has been enhanced.
F & B

In 3.98, a Force Gratuity option was added to aid customers who do not charge the management sales tax or gratuity on anything except for alcoholic beverages. This way you will no longer need to do multiple transactions.

In 3.98, a time-keeper slip indicates when an employee goes on their break. It records the start and end time as well as the total break time is taken. This new record addresses strict labor laws required in some states, such as California.

Lesson Book

In the 3.98 update, you can now reset the No Show counts in Lesson Book v3 in the Admin section for a specific individual or all individuals. Also added is an option to define no-show count limits and to auto-send no-show emails.

Customer Module

As cities shrink and grow, zip codes change; and so, we have updated ZIP code data in the database wizard in 3.98.

Online Billing

In the 3.98 release, you have the ability to make an online payment when logged in as a sub-account so that the customer can make a payment to the parent account.

In Online Billing, you can add and delete credit cards when using the Moneris hosted vault in the 3.98 release.

In version 3.98, you now have the option to remove the amount due section in the Online Billing EU version if you do not need your customers to see it.

In the 3.98 update, an option was added to hide Click Here To Go Paperless button in the event you would want to control how your members get their statements. The new option is located in the Admin section of Online Billing and will be checked by default. When unchecked, the button will not display.

When a member makes an online payment from your Online Billing site, the “thank you” email your customer receives now includes the convenience charge as of release 3.98. Another key field was added that includes the total amount of the transaction to enable this.

In the 3.98 release, in Online Billing, a customer can perform a same-day void for a payment on account now.

Your customers can now see their transactions of any payment method from the Online Billing portal. In addition, sub accounts that have their balance roll up to the main account can now see all transactions in the 3.98 release.

In the 3.98 release, a sorting feature was added to the Online Billing statements in the Date column.

Online Reservation v5

An option is available in the ORE5 3.98 version for delaying tee times after a customer cancels. So, for example, if you would like to delay the visibility of the tee time to your customer after they have canceled for a better rate, you can use this option and set the number of minutes that tee time is delayed. This option is in Course Options of the Admin side of ORE5.

This new 3.98 feature adds a new email template and the functionality to send a different confirmation email to the other players [2+] on a booking if their email address is entered by the booking golfer during checkout in ORE5. The purpose of this feature would be to inform the other players of the booking reservation on which golf course telling and informing them of any other information they would need to know, such as rules of play, what to expect, etc.

In 3.98, you can define different theme colors for targeted tee time cells per course ID, and also for certain parts of the site for each course.

This page will report the set timezone for the v5 site and the database. The page also reports the local end-users currently set time zone.
You would use this is to verify what the site/DB timezones are set to in an easy manner without having to go hunting.

In the 3.98 release, the key fields have changed such that there is now a setlist of global key fields, which are fields that work in all messages, and then the message-specific key fields.

In the 3.98 release, you can enable a guest checkout for Online Res v5 (ORE5). You can also set up to allow your guest to enter a password at the receipt screen. If they enter an email address, their account will be converted to a customer account, just like if they registered online.

In the 3.98 release, an option was added in the email settings to customize the No Show message which pops up when the limit has been reached. Because you may not want your customers to call your Pro Shop, when receiving the current No Show pop-up when they are booking online; so, you can now customize the wording of the message to your customers in the Message Center.
Online Reservation v4

When searching for a golfer who shares the same name as another golfer, additional identifiers were added to the Buddy List in the 3.98 release so you can distinguish the golfers; so that you can select the correct golfer.

In the 3.98 release for Online Res v4, API calls were added to give Gallus the ability to check the cart price and also add or remove a cart from a valid booking that is not checked in.

In the 3.98 release, the ability to change the order of the classes was added in the Customer Class Tabbed Responsive View so you can control how you would like it to display for your customers.

In 3.98, the expiration date of a credit card is detected if it is expired when the customer is booking a tee time in your Online Reservation site. If it is expired, the customer is warned and cannot proceed until they enter the correct expiration date.

On the Tee Time Confirmation screen, when the player has a chance to review and change the selected number of players, riders, and holes; the line items now include tax in the 3.98 release.

You can use the Passport feature that requires all active members and players to be assigned to the Visitor class for purposes of member charging in release 3.98.

In release 3.98, in Online Res v4, we created a credit card integration with OnePAY so that we can use OnePAY to charge customers for tee times booked on the Online Reservations website.

In the 3.98 release, an option was added in the email settings to customize the No Show message and send it out as an email instead.

In the 3.98 release, a key field was added to the Email module that allows you to add what store code the Virtual Gift Card will be available for so that the product description of the gift card that they purchased can be displayed.

You have the ability to schedule reports from Starter Hut just as they are scheduled from the Reports module in the 3.98 release. If you use reports from within Starter Hut for end-of-day tasks, you can have these reports such as the No Show Detail automatically be emailed. This will avoid manually printing and emailing the reports every day, which can be time-consuming.

In the 3.98 release, you have the ability to use a name key field for the offer email. Previously, the only key field available was the [CustomerName] but this shows as Last, First. Now you have the ability to have a customer name display as First, Last on the email sent from their data kiosk.

In the 3.98 version, more [PLAYDATE] key fields can display many different forms of the date for Online Res 4 and 5 email templates. The updated formats for dates should be less confusing to your members.

The reservation confirmation email template includes a NOTE key field that only appears when a checkbox is selected in the Notes pop-up box in version 3.98.

In the 3.98 release, you have the ability to copy the product code from the Rain Check tab and paste it into the Sales screen. Previously, only the issue date could be copied. Because your customers often forget their rainchecks, you can look it up, copy the product code and then paste it into the Sales screen which will speed up the process and cause fewer errors now.

The reservation invitation now appears in the calendar; by default, it shows the Subject line. However, this has been changed in 3.98 to include more reservation details as follows:

The Email module will not send emails that are greater than 9 GB and the customer will be alerted in 3.98.
Reports

In the 3.98 release, the two reports, Bank Draft Custom Great Life and Bank Draft Great Life, only show the last 4 digits of the customer’s bank account number.

In 3.98, a new Food Minimum report was added to the CPS software which contains the following details in columns: customer acct #, customer first name, last name, food min item, the start date of food min cycle, the end date of food min cycle, food min, food min remaining, and food min spent.

When a Batch Pay on Account report is run and declined credit cards are listed with the account numbers that were declined, the name, the balance, the payment method, and the amount charged is available in a PDF or .csv file. In version 3.98, this listing includes the member's email address as well so you have fewer steps in finding and contacting the customer.

When you are using the option Zero Member Credit Book in the Customer Management Options, the software now adds a proper store code so that when you run reports on the zero member credit book items it shows up under the store the event took place in the 3.98 release.

In version 3.98, a new enhancement to the Email Acquisition report includes players/guests when the report searches for new emails added to the database. This is controlled by a new filter option in the report setup.

In version 3.98, the "Amount Enclosed" text on the statement has been moved in order to work with the standard window-type envelopes that you may use giving your mailings a more professional appearance.

In 3.98, the Payroll Employee report that displays a service charge for the correct tips/gratuity.

In 3.98, the new inventory location feature in the Stores tab of the Inventory module populates as a sales note on the Retail Quotes report. This helps if you sell the item from a machine (to a customer), you can use this location such as Row A, Shelf 1 to find parts easier in the stock room.

In 3.98, the enhancements to the Inventory Valuation report are as follows: Added new Unit Cost Factor radio button option to the Report Criteria, and set the default to the Avg Cost radio button. The radio button after subsequent selection defaults to the last chosen radio button. The Unit Cost Factor option was modified so that only positive values are returned for the average unit cost.

In the 3.98 release, the “Charge tips” dollar total for each employee that shows up on the Payroll Report has been added to the ADP Export Data file from Time Keeper.

If you run batch pay on account often, the enhancement in the 3.98 release for the process is now easier when running multiple accounts because it eliminates the need to exit out of the software to clear the cache.

Web Store

Added in the key field [CustomerName] into the Web Store email templates in the Web Store backend in release 3.98. Previously the [CustomerName] key field only worked for the Retrieve Password template. This new feature enables you to address your customers appropriately by name and make it more personal.

CPS Air

In the 3.98 release, we enabled restrictions on a reservation by class when using Starter Hut on your iPads running CPS Air. This could be useful to you when you need certain class members to be restricted from booking the pool on certain days.
